Invitations to Bid
MacMillin maintains a vendor and subcontractor database. It is the source used to contact vendors and subcontractors for projects and we attempt to “fit” a project to the most appropriate firms. We typically base our selections on type of project, size of project, and area of work.
You may be contacted in three ways: 1) personally by phone, 2) by email or 3) by fax.
It is crucial that your information is up to date and accurate. We encourage you to contact Gail Wellington at gwellington@macmillin.com or 603-352-3076, ext. 111 to update your information accordingly.
Obtaining Bid Documents
MacMillin tailors document distribution based on the project size and by owner direction. Large projects usually require a third party to assist with the distribution, addenda follow-up, and dunning. MacMillin utilizes the following third-party vendors:
- Signature Press and Blue Printing
- MinuteMan Press
- Reprographics of New England
You will be advised where to obtain documents on your Invitation to Bid.
Smaller projects may be handled directly by MacMillin.
If you utilize software that allows you to download files for estimating, you may be able to obtain project documentation on our FTP site.
Bidding Requirements
MacMillin requires Bid Bonds (PDF 160 KB) for bid or contract values in excess of $150,000 typically. However, depending on the project, owners may require more stringent requirements. Please take note of your Bid Invitation.
Any project requiring a Bid Bond and every subcontractor that is successful will be required to submit a Performance and Payment Bond (PDF 136 KB) following award.
All bidding subcontractors, regardless of bonding requirements, are required to submit evidence of insurance meeting the requirements of the project at the time of submission of the bid. If successful, a specific and final insurance certificate (PDF 32 KB) will be required. See the following link for a sample.

MacMillin requires all subcontractors to acknowledge and accept the terms of our Standard Subcontract Agreement (PDF 1.5 MB)
For emergency “time and material” projects, MacMillin has a short service order form (PDF 32KB) Please contact us to learn more about working with us on emergency projects.
Notification
All successful subcontractors bidding to MacMillin will be contacted by phone initially. Bidder proposals will be evaluated thoroughly for scope and completeness. MacMillin will provide formal notification by issuing a Subcontract (PDF 1.4 MB) or Material Purchase Agreement (PDF 57KB).
